For years, I’ve used the publication as a resource to not just describe how to do things, but to also keep a record for myself to look up later! Today, we had a client that handed us a customer data file that was a disaster. Virtually every field was misformatted and; as a result, we were unable to import the data. While there are some great add-ons for Excel to do the cleanup using Visual Basic, we run Office for Mac which won’t support macros. Instead, we look for straight formulas to assist. I thought I’d share some of those here just so others can use them.

The experience of using a spreadsheet for managing a marketing budget can range from simplistic to nightmarish. Read on to find out the 5 problems with managing budgets on a spreadsheet.

There are five primary problems with using spreadsheets.

1)  Spreadsheet data can be erroneous when entered or changed.

2)  Spreadsheet consolidations and aggregations are not for the weak of heart.

3)  Spreadsheets are not scalable. I have seen marketing budgets that encompass hundreds of marketing programs, multiple lines of business or geographies across multiple product lines. If you are tracking and rolling up all marketing spend transactions, you can easily get into tens of thousands of lines of spreadsheet rows making reporting and consolidations slow and difficult.

4)  Spreadsheets are in reality not that flexible. Using the same scenario cited in the consolidations and scalability examples described above, imagine the impact of a decision to add a column, track a new element, add a new category of spending or a new line of business. 

5)  Spreadsheets are problematic to inspect and audit. We’ve all seen it. Your spreadsheet doesn’t cross foot or total up to what’s in the submitted budget or spending report. Consider a budget that was fine on Monday but is now not footing on Tuesday. Who changed it and where was the change made. What’s your audit trail?

  • PowerPivot and Power View for massive data crunching: Another key tool in Excel is PowerPivot, included with Excel 2010 and 2013. PowerPivot is pivot tables on steroids. PowerPivot can load even the largest data sets from almost any source and process this massive amount of data in seconds. After the initial learning curve, it's surprisingly lightweight.
  • Bing Ads Intelligence for rich PPC data: Need keyword ideas or bid estimates by position? Bing Ads intelligence, a free add-in from Bing Ads, can give you the number of searches per search term, cost-per-click data, keyword ideas, age/gender data, and even more.
  • Excellent Analytics pulls in analytics data directly into Excel: Spending too much time on reports? Excellent Analytics lets you pull Google Analytics data directly into Excel. There is a free, open-source version that has been downloaded tens of thousands of times by marketers looking to automate reporting.
  • SeoTools for Excel for robust SEO-specific tasks: Last but not least is a free set of SEO tools, fittingly called SeoTools for Excel. This donation-supported toolset adds many SEO-specific tasks to the Excel ribbon. Mitch Monsen from WhiteFireSEO says, "It has one of the most robust feature sets I've seen in an extension, and Nielsen is updating it constantly. It has mind-boggling scraping capabilities (get a proxy if you plan on using them a lot) and a ton of on-page analysis tools."

THIS IS GREAT STUFF!!!! We're all Excel jockeys, and this is a tremendous collection of Excel add-ons to make our lives easier. Look: it's certainly NOT a Big Data solution...more like a Little Data solution, but that's OK as these add-ons will be very helpful. We're looking forward to jumping into Excellent Analytics.
